Answering a lead before the next coach does
A student messages you at 4:10 on a Tuesday, in the middle of your back-to-back block. You see it at 7:30, reply at 8, and hear nothing back. She booked someone else at 4:40. Let the first reply send itself
The automatic first reply in Leads sends your saved text the moment a Coach Site inquiry arrives, and the student sees it in Messages exactly as you wrote it. Use it to say when you will be free, what you teach, and to include your booking link so a decisive student can book before you are even off court.
It does not count as your reply. Your own reminders keep running until you send a personal response, which is the design: the automatic message buys time, it does not replace you.
Alerts timed to your teaching day
The recommended defaults send you a push notification immediately, an email after thirty minutes, and a text after two hours if the lead is still waiting. Quiet hours run from 8 PM to 8 AM, during which push stays immediate and email and text wait for morning. Email can be set to 30, 60, or 120 minutes and text to 120 or 240, so pick the timing that matches your longest lesson block. The first alert you can act on should arrive when you are free, not when you are mid-rally.
Reply with a time, not a question
"What days work for you?" starts a six-message negotiation. A booking link ends it. The student picks a slot, pays, and the lesson lands on your calendar with a confirmation and reminders already scheduled. Save the answers you retype most, such as directions, what to bring, and your rain policy, as saved replies so they are one tap.
The queue itself is simple. New leads sit at the top under Next up, oldest first. A personal reply marks a lead Contacted, a paid booking marks it Booked, and Archive clears the ones that went nowhere so the list stays honest. If you want, one optional reminder can go to the student after 24 or 48 hours when they have not read your reply. It stops the moment they read it, respond, book, or you archive the lead, and CoachGrow only ever sends one.

Yes. Leads carry their source, and each ad shows the reply time on the leads it sent you.

A student gets your automatic reply, your personal reply, and at most one unread reminder if you turn that on. Coach reminders go only to you.
